How to Create Telehealth Reminders With Direct Link to Waiting Room

This article will cover how to set your Updox waiting room to Public (instead of internal facing only) and customize the waiting room link. As well as duplicate Telehealth reminders within Open Practice Management to include your waiting room link.      
  1. Log into PsychEase and open the Updox Telehealth dashboard

  2. Open up your Updox Telehealth Settings page

  3. Within the settings page, click/navigate down to the Public Room settings section and click the Set My Room to Public checkbox to toggle this setting on


  4. Click the Edit room link text and update the string of text to your custom link. Typically this is the first initial of your first name and your last name, then hit Save. You will receive a confirmation message, but either keep this window open or save the URL for the waiting room as you will need it when creating reminders.



  5. Navigate to your Open Practice Management Dashboard, then click Scheduling to open the Scheduling Dashboard


  6. From the Scheduling Dashboard, click Reminder Setup to open the Appointment Reminder Sets page

  7. Click Add to begin creating a new reminder set, a modal will pop-up

  8. Within the Add/Modify Appointment Reminder Set modal, copy an existing Telehealth Reminder. There is always one created during the Updox onboarding process by the implementation team. If you do not see one, please reach out to support@tmdtigroup.com for assistance.

  9. With the copied reminder set loaded, update the Resource within the Reminder Criteria section, to the calendar resource of the provider with the newly created Updox waiting room URL.

  10. You will need to edit each Reminder in this set. Within each reminder you will need to edit each message type you have to update the waiting room URL with the newly created URL from previous steps.




  11. Lastly add a Description for the new reminder set (Typically [PROVIDER NAME]'S TELEHEALTH REMINDER), and click Save.
